The Challenge
Gulvkanonen, a growing business specializing in floor sanding and varnishing, came to us in 2017 when their operations were chaotic. They were using Word for quotes and Google Calendar for task bookings, feeling overwhelmed and at full capacity. They struggled to stay on top of their work, missing out on follow-ups and potential sales. The founder recognized the need for better systems to scale the business but didn’t know where to start.
Our Approach
WorkWays stepped in to provide a scalable solution built on the low-code platform Podio. Our goal was to create a structured and automated workflow that could handle Gulvkanonen’s growing demands and help them operate efficiently. Key elements of our solution included:
1. Sales and Task Management
We created a system that automatically captured data from the website, funneling it into Podio. Quotes were generated instantly, sent as PDFs to potential clients, and followed up with automated email and SMS reminders.
2. Dynamic Price Calculation
To optimize profitability and efficiency, we developed a custom price calculation script that adjusted prices based on available capacity, ensuring that Gulvkanonen could accurately price their services in real time.
3. Streamlined Booking and Capacity Planning
Once a quote was accepted, it was seamlessly converted into a task and assigned to an employee. A custom-built capacity overview ensured optimal resource allocation.
4. Field Worker Interface
We also created a user-friendly interface tailored to field workers, enabling them to access tasks, update job statuses, and manage daily operations from mobile devices. This streamlined communication and coordination between the office and workers in the field.
5. E-conomic Integration
We connected the system to their bookkeeping platform, E-conomic, for streamlined invoicing and payment tracking.
6. Up-Sell and Reminder Automation
Through Zapier, we integrated with Ortto to automate marketing flows, delivering an impressive 5x return on investment from up-sell emails during the first year alone.
